Job Description Summary
This position will serve as the primary assistant to two executive level leaders within the finance organization and also support the Finance programs team as part of the broader effort to manage and deliver services to the Financial Management Development Program and Operational Finance Leadership Program.

Roles and Responsibilities
The responsibilities of the Executive Assistant and Program Administrator – Finance are to ensure that the logistics, calendar and program events for this segment of our finance organization are managed in a time sensitive, comprehensive and collaborative way.
Manage the scheduling of curriculum, events and meetings for all Financial Management Development Program and Operational Finance Leadership Program events in collaboration with the Learning and Development Leader, Finance and Corporate Functions.
Manage the scheduling of meetings, events and activities for the Corporate Functions and Program Development Leader and direct team as well as the Strategy and Transformation Leader. Together these teams provide the holistic leadership of the Corporate Functions, Programs and Strategy for Finance and other Corporate Functions.
Participate in Lean Kaizen events to help our organization streamline work and improve our processes in these functional areas.
Be a connector for the functional organization to ensure synergy in scheduling, programs and events and ensure all necessary parties are communicated with for their participation and preparation prior to events.
Maintain development program rosters and assist with internal and external recruitment efforts
Assist with mentorship program
Administer communications plan for our development programs
Participate in the buildout of the Finance Website and facilitate ongoing updates. This does not require any programing/technical capabilities, but rather an appreciation for helping the organization more effectively structure key communications and support updates as necessary.
- Executive Administration experience with 10+ years’ experience in this space managing schedules, calendars, events.
Self-starter, connected within our business, will proactively think about how to improve processes.
Strong demonstrated writing skills, articulating complex ideas in an easy-to-understand manner.
Demonstrated project management skills to plan and deliver on established tactical and strategic goals.
Experience at an advanced level using Microsoft Word, Excel and PowerPoint applications as well as use of the internet and web applications (i.e. ability to draft correspondence and create PowerPoint presentations for leadership team); Excel application to create charts, diagrams and tables of data.
Prior experience supporting a team intranet/website or other forms of communications would be a plus.
