Job Description Summary

The State and Local Tax Project Administrative Assistant is responsible for coordination with internal stakeholders and external tax preparers to ensure timely filings, payment and execution of external state and local tax filings.

Job Description

State and Local Tax Project Administrative Assistant

  • Coordinate approvals, signatures and mailings of State CIT and other administrative filings; ensure proof of mailing and/or electronic filing acceptance is maintained

  • Ensure final copies of filings are uploaded to documentation repository

  • Coordination/filing of all GE and affiliate business licenses

  • Maintain and monitor state and local notice logs; follow up on delays in closing and help to coordinate with business contacts for data needed for timely responses

  • Support other SALT function leaders in research on underlying transactions, BUC/ADN resolution, preparation of POA’s and other state and local related items, as needed.

  • Coordinate with external service providers for maintenance of compliance calendar for filing obligations, communicate upcoming deadlines and potential delays to stakeholders, track and monitor completion and update control sheet as returns are finalized from external service provider

  • Assist with coordinating external payments between outside service provider and accounts payable, ensuring proper approvals in place and timely execution.

  • Other administrative tasks, as needed, to support the SALT function.

Required Qualifications:

  • Associate degree or Paralegal Certification

  • Minimum of 3 years experience in field

  • Ability to interact with people at all levels of corporate structure

  • Ability to prioritize and handle competing demands

  • Excellent interpersonal and organizational skills, positive attitude, good analytical skills, and the ability to work within a matrixed organization

  • Excellent research, verbal, and written communication skills

  • Self-motivated and able to manage cross-functional teams

  • Strong on time management and able to manage deadlines

  • Strong Microsoft Application Skills (Excel/Pivot Tables/VLookup, PowerPoint, etc.)
