General Electric Service / Project Coordinator in Schenectady, New York

Role Summary:Play a major role for clear communication between Technicians and Management. Ensure high quality standard in terms of Customer communication, including daily communication about on-site progress. Align with Customer expectations during on-site performance. Prepare estimation for Customers based on costs evaluation delivered by Supervisor and approved by Sales Department. Ensure that processes related to services request and quotation are followed and that paid jobs meets desirable CM target.

Essential Responsibilities:

  • Align with Customer start date

  • Deliver all necessary documents

  • Prepare estimation using input from Supervisors and other Departments involved

  • Send Order Confirmation after received, reading and analyzing PO from Customer

  • Update ERP system and LM Sales Funnel

  • Deliver package of necessary documents (training certificates, RAMs, etc.) to Customer

  • Prepare handover package of documents for Service Supervisor

  • Brief scope of work and repair methods prior to starting work

  • Inform Customer about team arrival or any delays

  • Send daily report to Customers

  • Inform Customer about any major change related to costs, duration or EHS

  • Drive Customer for back-office Customer Satisfaction Feedback Report

  • Review Internal and External Service Report

  • Review Real Costs vs. Estimated Costs

  • Align with Customer final invoice value

  • Send invoice together with External Service Report to Customer within 10 working days from work completion

  • Providing Customer with timely Order Confirmation based on received Purchase Order

  • Handle request regarding paid work OTC from customers (orders over 10K Euro for Sales evaluation)

  • Handle execution of claims according to LM T&C and processes

  • Arrange for ordering of transport, crane, travel, special tools and material needed to the specific jobs and communicate with Customer Site accordingly

  • Coordinate with subcontractors all pre-work issues and gather necessary documents after the job is completed

  • Communicate and plan service jobs with Planning, Service Supervisor and customer according to LM processes

  • Coordinate with Engineering if special instructions are needed

  • Ensure alignment with Customer on final value of the invoice and explain differences

  • Complete service report and invoice according to described process

  • Ensure customer satisfaction with prompt communication

  • Send office version of Customer Satisfaction Feedback to Customer back-office and register feedback on intranet

  • Give input to optimising processes and tools used daily


  • Marketing and Sales or Technical Degree

  • Minimum of 2 years BtB sales or Customer Service experience
