BHGE BEACON Senior Administrative Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.
Expert computer skills including advanced knowledge ofMS Office software packages and/or advanced knowledge of company-specificdatabases.
Broad knowledge of practices and procedures of thedepartment and the company.
Strong organizational skills. Excellent communicationand analytical skills. Must be able to work well with stringent deadlinesand possess good organizational skills.
Commitment to customer service and ability to work inteam-oriented environment. Self-motivated.
SAP experience and procurement experience preferred.
Answering phone inquiries, directing calls, andproviding basic company information
Monitors budget including tracking expenditures andproviding reports. May prepare spreadsheets for budgets, grants orcontracts, including tracking and maintaining expenditures and reconcilingaccounts; uses budget tool. Prepares financial reports using on-linefinancial systems or oversees and directs the work of an associatepreparing the reports. May serve as approver for financial transactionsrepresenting the department.
Provides wide ranges of support including: keyboarding,composing and editing letters, memoranda, reports, lecture/coursematerials, presentations, and cases. Prepares copy for publication orsubmission of customer proposals and/or reports. Arranges travel,accommodation, itineraries, and all correspondence related to arrangementsas needed.
Plans/organizes and implements events such as meetings,business luncheons, or client visits
Prepares reports, presentations, and data, as well asmaintaining files, records, and correspondence for meetings
Handles confidential information; organizes andmaintains files
May help plan company events, meetings, and employeeteam building activities or special projects.
Manages complex calendars, arranges for meetings,appointments and travel arrangements.
College degreepreferred, or an equivalent of education plus experience in an office environment
Five plus yearsrelated experience with proven office administration and customer serviceskills required
Solid workingknowledge of office processes and business policy development, and of relatedcomputer software and electronic communications tools.
Proven interpersonalskills with experience providing complex administrative support in ahigh-profile environment with tact and diplomacy.
Experience managing toa budget and with multiple deadlines required. Ability to work across teams andwith a variety of projects and constituencies.
SAP experience preferred
Proficient computer skills, including Microsoft OfficeSuite (Word, PowerPoint, andExcel); scheduling appointments/updating calendars a must.
Excellent written and verbal communication skills
Able to concentrate on multiple problems/tasks at once
Excellent time management and prioritization skills
Comfortable in afast-paced environment with multiple tasks and projects at hand
Able to organize andmanage large amounts of files, tasks, schedules, and information
Provides advancedsupport by handling a wide variety of administrative functions within afunctional area. May be responsible for performing office tasks such as filingand/or maintaining highly confidential records, processing transactions andother similar duties. May prepare reports, presentations or correspondence.Follows organizational and departmental procedures to complete tasks. Maysupport in facilitating logistics of functional group. May handle specialprojects as assigned.

Comfortable in both aleadership and team-player role, manages team members, leads assistantmeetings, and supervises when needed
