The primary responsibility of this role will be to ensure the smooth and efficient administrative support to the leadership teams and site. Responsibilities will be broad and changeable in nature including coordinating or leading special projects, arranging conferences, managing the lobby/visitors, and providing overall site support as needed.
Produce correspondence, meeting agendas, emails and any external mailings
Handle highly confidential and sensitive information, while maintaining confidentiality
Support with general office administration, ordering supplies, sorting mail, answering phone, creating badges.
Provide calendar, meeting, and conference management
Create/Edit and Publish Site Newsletter
Coordinate birthday, retirement and long-term service celebrations
Working with Employee Engagement committee and Leaders on coordinating engagement activities
Assist managers and employees with payroll questions
Support People Leaders with time keeping administration
Liaison with cafeteria Vending company
Update communication channels site-wide
Help in coordinating community reach activities for site
Manage large scale site activities
Coordinate with leaders and visitors to site for applicable conference needs
Demonstrate ability to multitask and be flexible in high volume task driven situations
Responsible and timely management and reconciliation of company purchasing card
Demonstrate interpersonal skills reflecting respectfulness and engagement to visitors and employees
Working knowledge of Microsoft Office (Excel, Powerpoint, Teams, Word, Outlook)
Support GE Healthcare Executive Staff Members in all related administrative tasks
Other duties as assigned
High school diploma, GED or local equivalent
Associates degree or equivalent and 3 years of administrative experience working in a corporate environment or 5 years or more of administrative experience working in a corporate environment at a senior level.
Strong demonstrated writing skills, articulating complex ideas in an easy to understand manner.
Demonstrated project management skills to plan and deliver on established tactical and strategic goals. Experience at an advanced level using Microsoft Word, Excel, Publisher, Outlook, Teams and PowerPoint applications as well as use of the internet and web applications (i.e. ability to draft correspondence and create PowerPoint presentations for leadership team); basic level of Excel application to create charts, diagrams and tables of data.
Strong working knowledge of local language (written and verbal).
Bachelor's degree OR at least four to seven or more years experience working in administration, office management, or related field in a corporate or professional business environment.
Excellent administrative and interpersonal skills, with ability and confidence to effectively interface with senior management and high profile clients.
Familiarity and working knowledge of relational databases and knowledge of the GE Internet, Support Central and other relevant applications desirable.
Extremely well organized, with attention to detail, yet able to multi task in an environment of changing priorities.
Professional approach, good judgment, creative problem solver. Possessing the personal drive and commitment to implement innovative solutions.
Ability to accepting constructive criticism and deal calmly and effectively with high-stress situations. This includes continuing to persevere and remaining calm in challenging or frustrating circumstances.
