Role summary:

Proactively provide the full range of executive administrative support for both the Chief Audit Executives (CAE) for GE Gas Power and Power Portfolio, GE Renewable Energy and the Chief of Staff for Internal Audit (CoS) as well as team coordination / support, as needed, for the local functional teams. Independently carry out all assigned responsibilities and balance the broad, varied and complex needs of multiple individuals. Become an active member of the Internal Audit functional team and liaise with other administrative staff to provide comprehensive support.

Essential responsibilities:

  • Proactively support the assigned leaders by independently handling all assigned responsibilities, taking direction from multiple staff members and balancing the needs of CAEs and CoS.

  • Maintain and coordinate calendars, schedule appointments and meetings (including both onsite and off-site conference arrangements), arrange travel schedules, travel itineraries, reconcile T&L expenses.

  • Develop PowerPoint presentations, including but not limited to charts, reports, proposals, agreements, or other types of risk assessment correspondence and maintain records of all documents.

  • Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed.

  • Have awareness of department deadlines (e.g. Audit Committee, Leadership team requests) and assist CAEs and CoS in meeting those deadlines.

  • Track and report CPE credits.

  • Assist in the onboarding/offboarding activities for new hires including but not limited to: system access, computer set up, scheduling initial introduction meetings, developing new hire assimilation plan with input from the CAE or CoS.

  • Manage a wide range of general administrative services including: follow-ups on requested data, schedule kick-off meetings, socialize data/reports with other BU auditors and input data into risk assessment tool (i.e. dates of meetings, files, and assessments) Anticipate, identify, analyze and solve issues/conflicts independently and discretely.

  • Communicate with internal and external persons and act as buffer, including screening, prioritizing and directing inquiries to appropriate resources in cases where personal contact with CAEs or CoS is not necessary or appropriate.

  • Handle confidential data and matters in a discreet and professional manner.

  • Work as a team player with other assistants and teams.

  • Special projects as required.

Qualifications Required:

  • High School Diploma or GED with a minimum 5 years’ related administrative work experience

  • Proficient in office management & current computer/office communications technologies. Strong MS Outlook, PowerPoint and MS Word skills with ability to deliver superior quality products at high speed, with ability to use all complex product functions to do so.

  • Demonstrated professional interpersonal skills – high level of motivation, integrity, self confidence and ability to take initiative and work well independently.

  • Exceptional proficiency in Microsoft Office suite. Strong PowerPoint skills. familiarity with video conferencing and scanning.

  • Excellent administrative, organizational and professional communication skills (verbal and written).

  • High level of attention to detail.

  • Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment.

  • Ability to prioritize and manage multiple tasks simultaneously.

  • Collaborative team player with proactive approach.

  • Ability to ensure security of confidential information – discretion and confidentiality required.

  • Flexibility and willingness to work extended hours as circumstances require.

Qualifications Desired

  • Bachelor’s degree

  • Familiarity with GE business operating rhythm and processes (internal only)
