Role Summary:

The Administrative Assistant will provide administrative support to executives within the Power Finance team in Atlanta.

Essential Responsibilities:

As the Administrative Assistant, you will:

  • Provide administrative support, including scheduling complex meetings and making occasional complex international travel arrangements

  • Provide overall office management / administrative duties, such as phone coverage, call screening, memos and letters to the executive

  • Establish and maintain strong communication links with Group, Division, and Department level secretarial and administrative personnel

  • Proactively coordinate the executive’s calendar, comprised of a heavy meeting schedule and extensive travel

  • Plan, schedule and arrange business meetings and travel itineraries; maintain passport and visa requirements; prepare and reconcile expense accounts for the Division Make complex travel arrangements and coordinate itineraries

  • Process T&L expenses for the executive

  • Prepare presentations, reports, spreadsheets, meeting minutes and other business information

  • Assist in managing expense accounts and budgets

  • Provide discrete and confidential coordination of sensitive company information

  • Use discretion in interfacing with all levels of individuals, internally and externally

  • Anticipate needs and accomplishe responsibilities without direction

  • Prepare, evaluate, and edit incoming and outgoing communications for the executive

  • Manage multiple projects, priorities and initiates / follow up to ensure timely achievement of commitments

  • Manage purchase of office administrative supplies

  • Use Accounts Payable services for check requests


  • Bachelor’s Degree from an accredited university or college (OR High School Diploma / GED with a minimum of 4 years of experience in an executive or administrative assistant position)

  • Demonstrated work experience using Microsoft Word, Excel, Outlook and PowerPoint

  • Proven ability to manage multiple tasks

  • Strong analytical skills / ability to work with numbers

  • Accurate and attentive to detail with superior writing and editing skills

  • Ability to manage multiple priorities and deadlines

  • Strong interpersonal and communication skills to interface with all levels of management

  • Adaptable / flexible: open to change in response to new information, different or unexpected circumstances, and/or to work in ambiguous situations

  • Proven ability to work with senior level executives, both internal and external

  • Ability to ensure security of confidential information

  • Extensive follow-up, attention to detail and accuracy

  • Flexibility with overtime on short notice

  • Strong organizational, time management and prioritization skills

  • Ability to support multiple projects and balance conflicting needs

  • Prior office management experience

  • Self-starter who works on own initiative

  • Resourceful, proactive, assertive, detail oriented, energetic, with flexible attitude

  • Ability to work well in team environment and to perform under pressure / against tight deadline
