Role Summary/Purpose

This role will provide a full range of administrative support to three GE Ventures executives primarily focused on the New Business Creations team. The position will interface with all levels of the organization, including c-level leadership team and external senior level and administrative staff of VC’s, startups and Investment Banks.

Essential Responsibilities

  • Organizing and arranging schedules, calendar management, extensive global and domestic trip planning, expense processing, meeting scheduling (both in person, Telepresence and conference calls), and various other events

  • Managing all types of daily correspondence to ensure professional, accurate and timely response and appropriate prioritization

  • Organizing materials in relation to meetings: collecting and compiling information and coordinating delivery

  • Drafting of correspondence

  • Processing invoices and purchase orders; acting as a liaison with Sourcing and Finance to ensure bills are paid accurately and on time

  • Anticipating, identifying, analyzing and solving issues/conflicts independently and discretely

  • Support with general office administration, including telephone coverage, mail processing & distribution, file set-up & maintenance, ordering office supplies and equipment

  • Support teams in planning and execution of internal and external events, including scouting locations and coordinating scheduling, accommodations, AV needs and catering

  • Providing support to the team as needed with travel, meeting coordination, preparing PowerPoint presentations, and ordering supplies

  • Special reporting and projects as required.


  • High school diploma

  • Minimum 7 years' experience as executive assistant, supporting senior level executive(s), preferably C-level executives

  • Exceptional proficiency in Microsoft Office suite. Strong PowerPoint skills; familiarity with video conferencing and scanning

  • Familiarity with Oracle Systems as well as Oblong Interface is a plus

  • Excellent administrative, organizational and professional communication skills (verbal and written)

  • Demonstrated professional interpersonal skills – high level of motivation, integrity, self-confidence and ability to take initiative

  • Extreme attention to detail, follow up, highly organized

  • Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment

  • Ability to prioritize and manage multiple tasks simultaneously

  • Collaborative team player with proactive approach

  • Ability to ensure security of confidential information – discretion and confidentiality required
